Introduction
Toolr Time Clock supports multiple subscription types for your organization so that no matter how you manage your business, we have a billing mechanism that meets your needs. If you're looking for information for Web Subscriptions for Toolr Time Clock, you've come to the right place!

* Base fee includes up to 5 active workers in the fee
For example:
An organization with 5 active workers on the Starter plan will only be charged $10/month
An organization with 4 active workers on the Starter plan will only be charged $10/month
An organization with 5 active workers and 1 inactive worker will be charged $10/month
An organization with 6 active workers on the Starter plan will be charged $10 base fee + $15 = $25/month
Ratcheting Explained
Web-based pricing is based on a real-time assessment of your organization’s number of active workers. This is the most cost-effective way to charge our customers and we believe matches as closely one-to-one with your organization’s structure we can get with billing.
“Ratcheting” simply means your subscription price fluctuates, based on the number of active employees you have at any given time.
For Monthly plans:
- At the beginning of your billing period (known as the “renewal time”), you will be charged for the exact number of active employees you have at that moment
- If, during the course of your billing period, you choose to add a new (make active) employee, at the end of the day (midnight EST), you will be charged for the new employee pro-rata for the time remaining in your billing period
- Employee charge is $2.50 / month
- If you add a new employee in the middle of the month, you will be charged $1.25 when the employee is activated
- We only process changes at the end of they day so your credit card does not see many charges, it will only see a single adjustment
- The highest number of active employees, during your billing period, will remain the same until the end of your billing period. This gives your organization ultimate flexibility to manage your employee roster without seeing a barrage of incremental charges
For Annual plans:
- At the beginning of your billing period (known as the “renewal time”), you will be charged for the exact number of active employees you have at that moment
- If, during the course of your billing period, you choose to add a new (make active) employee, at the end of the day (midnight EST), you will be charged for the new employee pro-rata for the time remaining in your billing period
- Employee charge is $25 / year
- If you add a new employee in the middle of the year, you will be charged $12.50 when the employee is activated
- We only process changes at the end of they day so your credit card does not see many charges, it will only see a single adjustment
- If, during the course of your billing period, you choose to make an employee inactive, at the end of the day (midnight EST), you will be credited the pro-rata amount for the time remaining in your billing period. This will show up on your account as a credit.
- Employee charge is $25 / year
- If you start with an employee on the first day of your billing period, you will be charged the $25 for the upcoming year. If you then mark that employee as inactive halfway through the year, your account will be credited $12.50
Creating a new Web Subscription
The Toolr team highly recommends all organizations use web subscriptions to provide a single source of truth for your subscription. Web subscriptions provide a single location for managing your subscription and you do not need to worry about the device the mobile subscription was created on.
Any user who has access to your Organization ID and password has the ability to manage your organization’s web subscription
To create a web subscription:
- Log in to the Toolr Time Clock web app https://app.mytoolr.com using your Organization ID and password
- In the bottom left, navigate to the Settings area
- Navigate to the Subscription tab
- Select the Product, Tier and Billing cycle right for your business
- Product - Starter or Plus
- Tier - Employee “bucket”
- Billing Cycle - Paid monthly or annual
- Click Subscribe
- You will be prompted to enter your credit card information to proceed
- Once completed, your subscription details will show in the top right of the subscription tab
- All set!
Changing a Web Subscription
Through the web subscription area of the Toolr web app, you can change your subscription to meet your ever-evolving business needs. You can change from Starter to Plus (and the other way around), and even change from monthly to annual subscription (and the other way around).
If you’re “upgrading” from from a Starter to a Plus subscription, the change takes effect immediately
If you’re “downgrading” from Plus to Starter subscription, you will continue to have access to the Plus tier features until the end of your current billing cycle
If you’re changing your billing cycle (eg, monthly to annual or vice versa), your account will be credited the pro-rata remaining balance and will be applied towards your upcoming invoices. This change happens immediately.
To change a web subscription:
- Log in to the Toolr Time Clock web app https://app.mytoolr.com using your Organization ID and password
- In the bottom left, navigate to the Settings area
- Navigate to the Subscription tab
- Select the Product, Tier and Billing cycle right for your business and click the “Upgrade” or “Downgrade”
- You may be prompted to enter your credit card information to proceed
- Once completed, your subscription details will show in the top right of the subscription tab
- All set!
Canceling a Web Subscription
All subscriptions are pre-paid. Once canceled, a subscription will remain active until the billing cycle is over and the subscription will not renew.
To cancel a web subscription:
- Log in to the Toolr Time Clock web app https://app.mytoolr.com using your Organization ID and password
- In the bottom left, navigate to the Settings area
- Navigate to the Subscription tab
- Near the bottom of the page, you will see a Cancel Subscription button
Changing to a mobile subscription
Changing to a mobile subscription is a two part process:
- Cancel your existing web subscription
- Create a new mobile subscription
To cancel your existing web subscription:
- Log in to the Toolr Time Clock web app https://app.mytoolr.com using your Organization ID and password
- In the bottom left, navigate to the Settings area
- Navigate to the Subscription tab
- Near the bottom of the page, you will see a Cancel Subscription button
To create a new mobile subscription:
- In your mobile app, click the Settings tab
- Navigate to the Subscription section
- Click “Change Plan”

- Select the Product, Tier and Billing cycle right for your business
- Product - Starter or Plus
- Tier - Employee “bucket”
- Billing Cycle - Paid monthly or annual
- Click “Subscribe” (this button may change label depending on availability of app store trial) and progress through the prompts
- All set!
